Cancellation Policy

Policy for Canceling and Rescheduling Virtual Appointments for 1-on-1 Coaching Purpose: This policy outlines the procedures for canceling and rescheduling virtual appointments for 1-on-1 coaching sessions, ensuring a respectful and efficient process for both clients and coaches. Policy Statement: Clients are encouraged to provide timely notice when they need to cancel or reschedule an appointment to allow for proper scheduling and consideration of both parties' time. Cancellation Policy: 1. Notice Period: - Clients must notify their coach at least 24 hours in advance if they wish to cancel their appointment. Cancellations made with less than 24 hours' notice may result in the session being counted as completed. 2. Method of Cancellation: - Cancellations must be communicated via email or the designated scheduling platform. 3. Exceptions: - Emergencies or unforeseen circumstances will be considered on a case-by-case basis. Clients are encouraged to communicate any such situations as soon as possible. Rescheduling Policy: 1. Rescheduling Request: - Clients wishing to reschedule an appointment must do so with at least 24 hours' notice to maintain their original appointment slot. 2. Rescheduling Options: - Clients can propose new times through email or the scheduling platform, and the coach will confirm availability. 3. Limitations: - Clients may reschedule the same appointment only once. Further changes may require a new appointment request through standard channels. No-Show Policy: 1. Definition: - A “no-show” occurs when a client fails to attend a scheduled appointment without prior notice. 2. Consequences: - Clients who no-show for a scheduled session will receive a reminder of the policy and may lose their slot for future appointments if no-shows are frequent. Acknowledgment: Clients will be required to acknowledge this policy upon scheduling their first appointment. This will ensure mutual understanding and respect for each other's time.
